Privacy policy

This policy explains what Ontario Kettle Corn Co. collects through our fundraiser site, why we collect it, who helps us handle it, how long we keep it, and what you can ask us to do with it. We sell and deliver only within New York State.

Who we are

Ontario Kettle Corn Co. is a kettle corn business in Ontario, NY. We run popcorn fundraisers for schools, teams and community groups, and this site takes the orders.

What we collect

When you place an order

  • Your name, email address, phone number and delivery address.
  • What you ordered, the seller and fundraiser you supported, the sales tax we charged, and the payment status.
  • Whether you checked the box to get marketing emails from us. If you did, we also record when, and the exact wording you agreed to.
  • If you order on a paper form, we enter the same details from the form.

We never see or store your full card number. Card, Apple Pay, Google Pay and Cash App Pay details are entered into Square's payment form and go straight to Square.

About fundraiser participants

The group running the fundraiser gives us each participant's first and last name, and sometimes a team or class. The organizer can also add a personal goal and a short message. Participants don't create accounts and don't give us their contact details.

When you ask about running a fundraiser

  • Your name, email address and phone number.
  • Your group's name, type, town and county, how many participants you expect, your timing, and your message.
  • How you heard about us, the ad or link you came from (if it was tagged, for example from a social media post), and the website that sent you to us.

How we use it

  • To fill your order: your seller delivers it, so your name, phone, delivery address and order go on the packing sheet we put in their bag of orders.
  • To work out New York sales tax: your delivery address sets the tax rate, and we keep order records for sales-tax reporting.
  • To email your receipt and let you know when your order has been handed to your seller.
  • To credit the right participant and group, and to show the group how its fundraiser is going.
  • To reply to fundraiser inquiries and see which of our ads and links work.
  • To send marketing emails, only if you checked the opt-in box when you ordered.
  • To keep the site secure and stop spam and abuse.

We don't sell your information, and we don't share it with advertisers.

Who sees it

  • Our staff, to run fundraisers, deliver orders and keep tax records.
  • Your seller, and whoever helps them deliver, who get your name, phone, delivery address and order on the packing sheet so they can deliver it.
  • The group's organizer, who sees each participant's sales totals but not buyers' names, contact details or addresses.
  • The public: participants appear by first name and last initial (for example, “Emma S.”) on fundraiser pages. Buyers are never shown publicly.

We may also share information if the law requires it, or with Square if you dispute a charge with your card company, to show the order was delivered.

Companies that help us

These companies handle information for us, only to provide their service:

  • Square takes payments by card, Apple Pay, Google Pay and Cash App Pay. To process and check the payment, Square receives your name, email, phone and address, and what you ordered.
  • Cloudflare hosts the site and its database, sends our emails, and runs a spam check (Turnstile) on the fundraiser inquiry form.
  • The U.S. Census Bureau and the New York State address locator: when a ZIP code crosses county or city lines, we send them your street address (not your name) to find which county or city it's in, so we charge the right sales tax.

Square, Google Pay, Cash App and Cloudflare have their own privacy policies for the information they handle.

Cookies

We don't use advertising or tracking cookies, and we don't run analytics on the site.

The only cookies we set are sign-in cookies: one for our staff on admin pages and one for a group's organizer on their dashboard. They expire on their own and end when you sign out. Buyers don't sign in, so ordering sets no cookies of ours.

On the checkout page, Square's payment form (and Google Pay or Cash App Pay, if you use them) may store their own data in your browser to process the payment and prevent fraud. Cloudflare's spam check on the inquiry form may do the same.

How long we keep it

  • Checkouts that are never paid for are deleted after 7 days.
  • Paid orders are New York sales-tax records. 3 years after the end of the sales-tax quarter of your order, we remove your name, street address, phone and email, and keep your city, ZIP code, what you ordered and the tax. If you opted in to marketing emails, we keep your email until you ask us to stop.
  • Your receipt link stops showing your full delivery address 30 days after your order is delivered.
  • Fundraiser inquiries are deleted 2 years after our last contact, unless the fundraiser went ahead.
  • Participants' last names are shortened to an initial 1 year after their fundraiser closes.
  • We'll delete any of this sooner when you ask, unless we need it for tax records.
  • Records of payment notices from Square are deleted after 90 days.
  • Staff sign-in records are deleted after they expire.

Your choices and requests

You can ask to see the information we have about you, correct it, or delete it. Email info@ontariokettlecorn.com and tell us the name and email address on your order or inquiry. We'll reply within 30 days.

We may have to keep some order details, even after a deletion request, because New York requires us to keep sales-tax records. If so, we'll tell you what we kept and why.

If you opted in to marketing emails, you can stop them at any time by emailing info@ontariokettlecorn.com. Order receipts and delivery notices still come, since they're about your order.

You don't have to give us any information, but we can't take or deliver an order without a name, email, phone and delivery address.

Children

Many fundraiser participants are children. We get their names from the group running the fundraiser, not from the children, and use them only to run that fundraiser: to give each participant an order link and printed materials, credit their sales, and pack their deliveries.

On public pages, a participant appears only by first name and last initial, with their team or class, sales progress, and any goal or message the organizer added. A group can ask us to hide the public list of top sellers.

Our order form is meant for adults. If you're a parent or guardian and want a child's name changed or removed, contact the organizer or email us at info@ontariokettlecorn.com.

Keeping it safe

The site only works over a secure connection. Receipt links use a long, random code, staff pages need a password, and each organizer dashboard has its own passcode. No system is perfectly secure, so we collect only what we need to run fundraisers.

Changes to this policy

If we change how we handle your information, we'll update this page and the date at the top.
